How we collect data

We collect personal information from you when you shop online at gardenfragrance.co.uk, or send us an order by post or telephone.

We use this information to make your shopping experience as easy and enjoyable as possible. We require it to process your order, inform you of any delays or problems and send you future catalogues and e-mails (subject to your agreement)

The information we collect is as follows
Your name.

Email address – so we can email your order confirmations and e-mails about products you may be interested in. 

Address – so we can send you your products and further catalogue.s

Telephone number – we’ll only call if we have a customer service issue that requires resolving.

Credit card details – so that we can process your payments.  These are encrypted and securely stored.

 

Sharing of Data

There are only four circumstances where we may share some of your data with others:

With call centre, warehouse, delivery companies and data processing analysts that we use to process the orders you place with us or who assist us in the service we provide to you. In these instances, we provide them with only the information they need to perform their function

In the unlikely event that our business assets are ever sold to or purchased by another company. (Our data records form part of our business).

We work with Experian (Club Canvasse) and Epsilon Abacus (Abacus Alliance).  The participating retailers are active in the clothing, collectables, food & wine, gardening, gadgets & entertainment, health & beauty, household goods, and home interiors categories. They share information on what their customers buy. Experian and Epsilon Abacus analyses this pooled information to help the retailers understand consumers’ wider buying patterns. From this information, retailers can tailor their communications, sending people suitable offers that should be of interest to them, based on what they like to buy.  Personal Data is provided to Experian and Epsilon Abacus and we also source data from them.

When you first made contact with The Garden Fragrance Company you were asked if you were happy to receive mailings and offers from third party companies whose products we thought might interest you. If you did not object at the time we will share your data with these companies.  These are companies operating in the clothing, collectable, gardening, health and beauty, gifts and gadgets, household goods and homeware sectors, 

If you have now changed your mind and no longer want to receive third party mailings, please email us at customerservice@thegardenfragrancecompany.co.uk with your name and address details and we will not share your name with these organisations.  You can do this at any time in the future.

Legitimate Interest

In communicating with you with e-mails and catalogues we are operating on the basis of legitimate interest.  This operates on the basis that because you have either purchased from us in the past, signed up to receive e-mails or requested a catalogue, you are interested in being informed about our products in the future.  As a consequence we will send you e-mails and catalogues unless you ask us not to by ticking the relevant data protection statements in our catalogue and website.  You can also contact us to change your preferences at any time.

Data Retention

Your personal data will be retained for the period of six years which allows us to continue to send you catalogues and e-mail you.  Once this period has lapsed and we cease to send communications we will permanently delete your details.  

Transfer of data Outside the EEA - Please note that Epsilon Abacus may transfer data outside the EEA.

Information Requests and Removal

The Data Protection Act 1998 gives you the right to access information held about you. Your right of access can be exercised in accordance with the Data Protection Act. 

You may request that your records be removed from our databases and we will comply immediately.

Our communications are designed to tell you about the benefits we can offer, so that you have exclusive access to our best deals. We use the information we have about you to tailor the content and try to ensure that the offers are as relevant to you as possible.

When you place your order you are automatically connected to our secure server using SSL encryption technology. This ensures that the information you send cannot be read by anyone apart from our ecommerce team. To check you are in a secure area of our site please look at the bottom of your browser and you will see a closed padlock. On newer browsers the padlock may be located near the top of the window next to the web address.
